How to Write a Resignation Letter

Structure, tone, notice period, and a handover checklist that keeps you professional.

A good resignation letter is short, clear, and polite. It confirms your last day, thanks your employer, and offers a handover. You do not need to explain your reasons in detail.

Basic structure

  1. Address your manager by name.
  2. State that you are resigning and give your last working day.
  3. Thank them for the opportunity.
  4. Offer to help with the handover.
  5. Sign with your name.

Tone

Keep a neutral, professional tone. Even if you are leaving because you are unhappy, the letter is not the place to list complaints. A calm letter protects your references and your reputation.

Notice period

In the US, two weeks is the common courtesy and is expected in most office jobs, but it is not a federal legal requirement. Some contracts or countries set a longer period, so check yours before you pick a last day.
